Sustainability Efficiency and Success How your company benefits from cloud services

Are IT solutions really better today than they were a few years ago? Especially after the arrival of cloud services? Most managing directors can certainly not confirm this and wonder when there will be a suitable and affordable solution for them. When it came to an IT solution and the acquisition and implementation of this up to now, that meant high investments, not to mention user-friendliness. But it doesn’t stop there, because IT also costs a lot of money in the long term.

You have to purchase your own hardware, which is not only a one-off but also requires a lot of maintenance during operation. Anyone who uses their own IT infrastructure should have it looked after professionally. In many companies, tech-savvy employees become administrators who, although they have extensive IT knowledge, are not specialists. Many companies therefore often lack a holistic IT and security strategy. Cloud solutions make it possible for every company to find suitable IT concepts and use them in a service-oriented manner – regardless of the size of the company or its own IT department.

What does the use of cloud solutions mean in companies?

Cloud service is IT outsourcing. You no longer operate the IT or certain areas in-house, but buy the service from an external provider – also known as a cloud service provider. They provide the complete IT with all services to its customers. The services are firmly defined and can be flexibly booked or canceled.

The Exchange mail server is a good example of this. This was previously operated by companies themselves with relatively high operating costs. Specialized personnel and expensive server systems were necessary, but they could never be fully utilized and unnecessarily consumed electricity. Today you can simply rent an Exchange mailbox from a cloud service provider and use it at much cheaper rates.

What are the benefits and what about security?

Cloud solutions bring more flexibility, time and money and ultimately change the world of work. Cloud services have therefore become more market-ready in recent years. The attractive and high-quality offers have been increased significantly for the German market. Especially in the middle class there has been a huge leap in the last 2 years.

The reason for this is that cloud solutions can be implemented flexibly and are ideal for reducing high fixed costs. But companies are often still unsettled because they do not know what about data security and data protection. Every company should therefore seek advice from appropriate experts – even if it has its own IT department and wants to set it up like a cloud service provider.

In the case of already existing solutions, you can also secure yourself with an external opinion. Because such specialists have been working with cloud technologies since the beginning and are very familiar with them. It often makes sense to find a provider who is the main point of contact in matters of IT and who can obtain all of the IT from them as a service. In the IT world this is called IT-as-a-Service.

Use IT as a service everywhere

Thanks to cloud services, IT is increasingly adapting to the wishes and size of the company and not the other way around. But which cloud strategy is the right one? Your own private cloud solution is usually more useful for larger companies with 200 or more PC workstations and a well-structured IT department, as server operating systems, hardware, licenses and technical know-how must be acquired or provided here.

With an “IT-as-a-Service” solution, the IT can be completely outsourced and obtained from the cloud as a turnkey solution. There is enormous potential behind this cloud service, especially for medium-sized companies: Instead of large one-time investments with high administration costs, more flexible and secure IT equipment can be obtained at a fixed monthly price, which is much cheaper to operate than if you operate it yourself .

The concept behind “IT-as-a-Service” is very simple for the customer: The company reliably procures IT as a service – like electricity from the socket. The customer no longer has anything to do with IT, he just uses it. The technology is always state-of-the-art, has multiple safeguards and is regularly serviced. A separate administrator is also not necessary and you no longer have to worry about IT. The usually somewhat difficult vacation planning of the only IT manager, who in the worst case also has the knowledge monopoly over the most important system in the company, is spared all sides. Through fixed service agreements, the so-called SLAs, the operation is contractually regulated for 365 days a year and 24 hours a day.

how does it look in action?

The local terminals, such as. B. the PC, connect to the virtual desktop in the data center of the provider. The operating system and software are provided and operated here. Special attention is paid to the fact that the applications are not only on a server, but are distributed in a performance-compliant manner.

A virtual desktop contains all the necessary applications that the employee needs, e.g.

  • Mailbox with Outlook
  • Internet Explorer for the eCRFs
  • Patient management with an appointment calendar

The customer himself is provided with sufficient storage space for the company data and backup storage for the backup. The employee can connect to this virtual desktop in the data center from almost any device.

He can also access the patient or appointment management from his iPad or work in an idea for the Tuesday presentation on his laptop at home. In principle, the user only needs Internet access and an Internet browser to access the Windows workstation. It not only feels as if you are sitting in front of your PC in the office, but is also just as secure and, above all, compliance and data protection compliant thanks to today’s technology and encryption using industry standards.

No data can be viewed as unauthorized as it is, for example, B. would be the case with a USB stick lost on the bus. The data also remains where it belongs – in the company – and cannot easily be taken away by unauthorized persons. The virtual workplace also makes the uncomplicated home office workplace a reality. The company automatically has such a workplace for every employee.
